Requesting personal
information from us

The Data Protection Act 1998 gives you the right, subject to certain exemptions, to have access to any personal information held about you, often referred to as the right of 'subject access request'.

Your rights when making a request

If we do hold personal information about you we will:

  • give you a description of it
  • tell you why we’re holding it
  • tell you who it could be disclosed to
  • provide you with a copy of the information held where you’re entitled to it.

If you would like to make a request you must do so in writing and send it to the Information Management Governance and Risk Team at the address below.

To assist you with this you can print the subject access request application form [pdf] and complete the details. This will help us find the information more quickly and confirm your identity, however it is not compulsory.

Proof of identity

To avoid personal data about one individual being sent to another, either accidentally or as the result of deception, we need to be satisfied about your identity. As standard, we will require photocopies of two official documents that show your name, date of birth and current address. For example, a passport, driving license, birth certificate or utility bill.

Where a request is being made on behalf of a third party we’ll also ask for evidence of consent from the individual that the third party is acting on their behalf, such as a signed letter.

Further information required

We may request further information from you to find the information. For example, we may ask if and when you have contacted us in the past.


A fee of £10 is payable for each request and a cheque or postal order made payable to The Guinness Partnership Limited should be sent with the request.

Timescales and response

You’ll receive an acknowledgement within three working days and a full response in 40 days from receipt of your request, from satisfactory proof of identity and from the information needed being requested.

The response will explain if and why any information is being withheld from you.
